Conference Know Before You Go


The IAAO Annual Conference, Sept. 21-24 in Orlando, is only days away. Educational sessions, networking opportunities, and chances to see the latest in technology from many business partners await. Nearly 1,700 people are expected to be in Orlando for the 91st IAAO Annual Conference.

Remember to download the mobile apps to use on-site

Everything attendees need to know for the conference can be found on the IAAO Annual Conference Mobile App. Registered attendees recently received an email with a download link, or you can download the app directly from the Google Play Store or the Apple App Store. The app name is “Cvent Events,” and the 2025 IAAO Annual Conference is an event in the app.

Registration

The annual conference registration desk will be open at the Walt Disney World Dolphin hotel from 10 a.m. to 6 p.m. on Sunday, Sept 21, from 7 a.m. to 4:30 p.m. on Monday and Tuesday, and from 7:30 a.m. to noon on Wednesday. Attendees will want to stop by the registration desk to retrieve their badges and conference bags, which contain important materials for a successful conference.

Registration will be located in the convention center on the lobby level.

Remember to bring your badge and drink ticket to Sunday’s Welcome Reception and Monday’s Exhibit Hall Happy Hour.

Badge

Attendees will print out their badge in the registration area. You can update online (click on Already Registered?) or when you print out your badge.

First-timer? Need a refresher?

Want to make sure you make the most out of attending your first IAAO Annual Conference or need a refresher on what takes place at the conference? Join us from 4 to 4:45 p.m. on Sunday, Sept. 21 for a fun and entertaining orientation program about the annual conference.

Remember Team Jersey Wednesday 
Remember that Wednesday is Team Jersey Wednesday, so bring your favorite team jersey to wear at the conference!

Welcome Reception: 6 to 8 p.m. Sunday, Sept. 21 

The Conference kicks off with a welcome reception at Mango’s Tropical Cafe in Orlando. The reception will run from 6 to 8 p.m. on Sunday, Sept. 21. Buses to the reception will begin loading outside the Walt Disney World Dolphin hotel at 5:30 p.m. The last bus will leave the venue to go back to the hotel at 8:30 p.m.  For those driving to the Welcome Reception, the venue has 45 parking spots available and there is a parking garage next door with a rate of $15.

Florida Adventure Contest
The Exhibit Hall Grand Opening will take place on Monday at 10 a.m. in Atlantic B & C ballrooms. Lunch will be available in the exhibit hall on Monday from 12:00 to 1:30 p.m. The Exhibit Hall Happy Hour will take place from 4 to 5 p.m. on Monday. Breakfast will be in the exhibit hall on Tuesday from 7:30 to 8:30 a.m.

Stop by the exhibitors listed on the Happy Hour Drink Ticket page in the mobile app for an extra drink ticket for Monday’s Happy Hour.

The exhibit hall will feature a tribute to 16 spots to visit in Florida. Eight of the 16 sites will be featured in the Exhibit Hall each day. Attendees can stop by the banners for each site and scan their badges to be entered in a contest to win a “Get Ready for Adventure Prize Package.”

Designees’ Lounge

IAAO is providing a Professional Designees’ Lounge for attendees who have achieved the AAS, CAE, CMS, MAS, PPS, RES designations, or the FIAAO. The lounge provides an opportunity to interact with other designees and will be open Monday and Tuesday from 8 a.m. to 5 p.m. and Wednesday from 7:30 a.m. to 4 p.m. There is also a reception for designees and Fellows on Tuesday at 5 p.m. The lounge and reception will be in Southern Hemisphere IV.

Closing Banquet

The Closing Banquet will be on Wednesday night from 6 to 9 p.m. in the Northern Hemisphere ballroom. Stop by before the banquet for a photo.

Arriving in Orlando: Travel to hotels

The Orlando International Airport (MCO) is located about 20 minutes from Disney World. Mears Connect offers a shuttle to Disney hotels.
